Key Responsibilities

Facilities & Operations Management:
- Oversee the maintenance, security, and cleanliness of school buildings, grounds, and infrastructure.
- Develop and implement systems to ensure campus facilities are well-maintained and responsive to the needs of students, staff, and visitors.
- Lead and manage the operations team, including facilities, security, transportation, and support staff.
- Support recruitment, training, and professional development for operations staff.
- Oversee operational budgets, ensuring cost-effectiveness and financial sustainability.
- Use tracking systems and regular data collection to report on key performance areas so that strategic decision-making is informed and effective.
- In collaboration with the Head of Procurement, manage vendor relationships, procurement processes, and contract negotiations.
- Oversee school transportation services, ensuring efficiency, safety, and compliance.
- Manage school events logistics, including facilities setup and operational support.
- Manage shared facilities use including the BlackBox Theatre and The Summit conference hall.
- Establish and implement effective digital systems for management of processes, facilities requests, data tracking, and reporting.
Planned Facilities Upgrades & Enhancements: Lead capital projects, renovations, and infrastructure improvements.
- Sustainable Campus Initiatives – Implement solar energy solutions, water conservation systems, and waste reduction programs to enhance environmental sustainability.
- Classroom & Learning Space Modernization – Upgrade classrooms with flexible, student-centered furniture, enhanced technology integration, and improved acoustics for better learning experiences.
- Sports & Recreation Facilities – Expand or renovate sports fields, gymnasiums, and playgrounds to support physical education and extracurricular activities.
- Security & Access Control Enhancements – Install smart security systems, upgraded surveillance, and controlled access points to improve campus safety.
- Transportation & Traffic Flow Improvements – Optimize school
- drop-off/pick-up areas, expand parking, and enhance school transportation services for efficiency and safety.
- Green Spaces & Outdoor Learning Areas – Develop landscaped gardens, shaded seating areas, and dedicated outdoor learning spaces to promote well-being and experiential learning.
- Multipurpose & Community Spaces – Enhance & improve common areas such as libraries, auditoriums, or collaboration hubs to foster community engagement and school events.
Health, Safety and Security:
- Chair the school-wide Health and Safety Committee, ensuring that a regular schedule of meetings enables systematic review of key health and safety risks.
- Ensure compliance with health and safety regulations, including emergency preparedness and risk management.
- Direct the management and maintenance of all security systems, including access control, surveillance, and monitoring, while establishing protocols for physical security. Regularly review and upgrade security measures in response to evolving threat landscapes.
- Oversee security operations, including access control, visitor management, and campus safety procedures.
- Implement and monitor crisis management and emergency response plans.
- Review and propose mitigations to health and safety risks including insurance coverage.
Risk and Crisis Management:
- Establish and lead the implementation of a facility-wide risk management framework, including regular threat assessments, vulnerability analysis, and the development of mitigation strategies for operational, physical, and security risks.
- Design, implement, and maintain robust emergency plans and procedures. This includes organizing and conducting mandatory drills, tabletop exercises, and training programs focused on emergency preparedness, safety protocols, and crisis management procedures to ensure all personnel are equipped and prepared for a swift and effective crisis response.
- Serve as a key leader in the Crisis Management Team in the event of an operational crisis (e.g., natural disaster, significant infrastructure failure, security breach).
- Oversee all facilities and operations compliance with relevant regulations, environmental standards, and building codes. Institute a proactive audit schedule to ensure a consistently safe, compliant, and healthy work environment.
- Maintain positive connections with local authorities.
- Collaborate with Technology Coordinator on Data Security and Data Protection.
- Track and manage the school’s insurance coverage for areas of vehicles, all risk (buildings), construction, and public liability.
Strategic Planning and Policy Development:
- Participate in the development of the school’s strategic plan for facilities and operations, ensuring alignment with the school’s overall strategic priorities and goals.
- Develop and update policies and procedures related to facilities and operational management to facilitate effective governance, including the Crisis Management Handbook, Campus Directory and Map, Community Access, and Facilities, among others.
Stakeholder Engagement and Community Relations:
- Establish and maintain effective communication with both internal and external stakeholders to promote a collaborative approach to facilities and operations.
- Lead efforts to engage the community in sustainability initiatives and programs, fostering a sense of ownership and involvement in campus facilities.
Supervision Requirements:
- Supervision of the Operations Team Managers; Grounds, Cleaning & Security, Facilities & Maintenance, and Transportation.
Other Duties:
- Perform other duties as assigned by the Supervisor.
