Our Cambodia Office is seeking for One (01) qualified candidate to fill in the position below

Position:           Administration Assistant

Location:           Mongkol Borie I AP, Banteay Meanchey Province

Salary:               436$-545$

POSITION DESCRIPTION:

For administrative areas, we seek colleagues who have broad-based, service as foremost in their minds (especially be professional being an Tele-operator, handling visitors, staff and people visiting office with politeness and humbleness attitude). We expect good communication and interpersonal relationship skills with internal and external. Proactive approach in handling administrative issues and concerns with good problem-solving skill. We value employees who approach their tasks with passion and enthusiasm, because for us, this is an important prerequisite for quality services.

Position will be expected high quality of services delivered to staff on admin needs in the Area Program office including day-today managing office facilities, office kitchen supplies (tea, coffee, sugar etc.) and toiletries, courier service and delivery arrangement, front desk service (operator).

II. MAJOR RESPONSIBILITIES

Office Administrative management Facility Management:

  • Effective implementation of Office Standard and Management policy and guideline to make sure office meets minimum standard
  • Monitor and ensure the office cleanliness on a daily basis and ensure comfortable environment working place is provided for staff.
  • Handle office issues and concerns related to internet communication, cell-phone Work with admin officer to resolve concerns.
  • Provide general office clerical work such as photo copy, ensure meeting facility available in the meeting room,
  • Monitor the use of utility i.e. water, electricity, fan/air-con to be efficient and friendly remind staff about stewardship of resource
  • Ensure timely payment for re-curing transaction like office rent, utilities Logistic, hospitality, telecommunication
  • Coordinate logistic support for meeting /training/workshops or other special events · Coordinate itineraries for visitors/staff
  •  Ensure courier and postal services of the office are handled smoothly. · Filings of documents and maintenance of cabinets and folders. · Handle logistic and hospitality arrangement for staff and visitors.

Asset management:

  • Prepare & update asset listing regularly including physical verification vs the records entered in the listing or SUN6.
  • Support the AO at zone on asset disposal. · Regular conduct refreshing/sharing on asset movement/form guideline to staff.
  • Tracking of all assets given for use to external third party ( e.g cell phone, camera given for program-related used)
  • Coordinate for regular maintenance on office IT assets (Computer, printer)

Fleet management:

  • Support Admi Officer and National Office fleet coordinator to implement fleet policy/guideline effectively
  •  Maintain and update the vehicle logbook regularly
  • Responsible to properly supervise driver including schedule, fuelling of vehicle/motorbikes and maintenance of vehicles.
  • Support the AO and NO fleet coordinator to ensure that WVI vehicle have proper documents such as road tax and insurance coverage
  • Effective implementation of transportation policy and procedure to ensure safety of passengers and vehicle.

Office Security:

  • Security guideline/protocol is effectively implemented
  • Regularly check and maintenance the security equipment/tools to make sure they function properly
  • Regularly monitoring security guard performance employed in the AP office.
  • Assist ADP Manager in completing Security and Safety Check List
  • Regularly monitor local situations which could disturb office working and staff safety and security.

Procurement & payment:

  • Effectively serve the purchasing needs of project staff through playing buyer role for with compliance to Global procurement Manual
  • Support Procurement Officer (Buyer) at zone obtaining quotations for spot by (non- contracted items) purchase
  • Support AP to get quality Annual Procurement Plan ( APP)

III. REQUIREMENTS:

As part of the World Vision International-Cambodia mandate requirements for new staff, all candidates who are offered job are required to produce Local Police Clearance Certificate prior to date of joining in the organization.

  • Associate Degree in business administration/commerce/finance etc. with 3 years’ experience in core admin work.
  • Bachelor’s Degree in business administration/commerce/finance etc., or other related field with 2 years of work experience in core admin work.
  • In preparing payment/ Customer service/ arrange Travelling/ courier service other experience related to business administration, office management, facility operation (preferably large organization, school, other companies)
  • Office management, asset management, logistic and vendor management
  • Good command of English (speaking and writing)
  • Good computer skills (Word and excel, emails, internet)
  • Demonstrated excellent customer service mindset
  • Effective communication skills both written and oral
  • Good in organising, interpersonal skills
