The Programme Support Assistant provides support and assists assigned UNFPA Programme portfolios The position supports the administration and logistics, monitoring and reporting to key programmatic areas. This PSA post will specifically support the Gender, GBV and youth portfolios. S/he will support the Programme by providing administrative and logistic support services as well as support to monitoring and reporting. S/he will also be required to liaise and work with other Programme Assistants, Programme teams, the Communications Specialist, and the Operations team towards ensuring that procurement and office administrative work is functioning in an accurate, and consistent manner.
Task description
The national UN volunteer work closely with Programme Associates, Admin. Associate, Finance Associate and programme leads, but not limited to, to ensure the quality and effectiveness and efficiency of programmes support implementing the CO’s CPAP and emerging priorities in compliance with rules and regulation of the UNFPA and/or donors.
Under the direct supervision of Assistant Representative, the UN Volunteer will undertake the following tasks:
After induction and orientation, the Programme Administrative Support Assistant will support the Gender and Youth programmatic areas:
● Support drafting programme documents including correspondence;
● Provide necessary administrative support for the implementation of the CO’s Workplan activities under Gender and Youth programme areas.
● Assist with stakeholder and implementing partner (IPs) communications;
● Provide assistance in the preparation of logistical and administrative support for organizing meetings/workshops (e.g., participants’ invitations and follow-up, meeting minutes and note-taking);
● Provide logistics and technical support including support to video conferencing, and other IT related tasks.
● Assist in making logistical arrangements for travel for programme personnel, experts, government and UNFPA officers for the project workshops. This includes supporting Travel Authorizations, following up trip reports and travel claims, booking travel and accommodation.
● Serve as a custodian of office stationery, supplies, and distribution among offices and programme personnel; maintaining a log of distribution.
● Assist in the procurement of the equipment and materials of the programme implementation including: liaising with vendors to get quotations, and assisting in creating vendor profiles of service providers as well as preparing documentation for the payments of service providers.
● Ensure proper archiving of documentation for the programme including financial documents in the Shared Folder i.e google drive, idoc and tracking and storing electronic documents such as PDFs, word files and digital images of relevant project activities and documents in the Shared Drive.
● Provide translation and/or interpretation from English to Khmer and vis versa as required.
● Perform any other tasks as required or assigned by the supervisor and Programme Leads.
UNFPA will support the NUNV specialist through the following:
