Job title : Human Resource Executive
KEY ACCOUNTABILITIES
1. Being responsible for the Personnel Administration Management in Store
- Distributing and managing uniforms, name badges, lockers for staff, promoters.
- Managing transportation and accommodation for staff.
- Directly implementing or controlling meals on Special / Event Days.
- Collecting administrative fee, deposit and other fee regarding to the name badges and lockers for promoters and tenants.
- Delivering all collected fees regarding to issuing name badges to the Accounting Department accurately and timely.
- Overall implementing and controlling the Uniforms for staff, ensuring the proper and neat dressing of all staff.
- Preparing and submitting the Monthly Social Insurance and Health Report to the respective authorization on the 15th each month at the latest.
- Preparing and submitting the Monthly Headcount Report to the respective authorization at the end of each month.
- Preparing and submitting the Monthly Attendance Report to the respective authorization on the 23rd each month at the latest.
- Preparing and submitting the previous Monthly Training and Development Report to the respective authorization on the 7th each month at the latest.
- Preparing and submitting the previous Monthly Sales Incentive Report to the respective authorization on the 10th each month at the latest
- Preparing and submitting other personnel reports requested by the Functional Manager or Immediate Superior.
- Effective implementing and managing HR Net-term to ensure the on-time smooth processing of attendance report.
- Researching data and preparing initial proposal for annual salary review.
- Effectively managing of the entire performance management process.
- Preparing and maintaining company’s salary structure, job documentation, and job evaluation system.
- Managing and solving matters relating to the health payment, medical, hospitalization package, etc.
- Identifying staff vacancies and recruiting, interviewing and selecting applicants for non-executive positions.
- Staffing in accordance with the company headcount, and with the company standard requirements for each position.
- Issuing Offer Letter to successful candidates.
- Monitoring and updating recruitment plan and budget.
- Updating and preparing Job Description for all positions within Store as per the standard format.
- Developing and maintaining relationship with employment agencies and other recruitment sources.
- Planning, organizing training programs for new staff.
- Directly conducting new employee orientation and other related short skills for all new non-executive staff.
- Coordinating with the respective training authorization from the Head Office in organizing in-store training programs and on-the-job training activities.
- Ensuring that the respective training schedules are arranged timely and properly.
- Preparing performance appraisal form for respective authorization’s confirmation.
- Recommending, developing and scheduling training and development courses.
- Providing advice, assistance and follow-up on company policies, procedures and documentation to all staff.
- Coordinating the resolution of specific policy-related and procedural problems, employee grievances and inquiries.
- Working with union representative to resolve labor relation issues.
- Developing and recommending operating policy and procedural improvements.
- Conducting exit interviews to identify reasons of employee termination
- Working closely with all HR staff in the Head Office to discuss about all Store’s matters (C&B, Pay roll, Recruitment, T&D and other HR-related issues).
- Strictly following and controlling the company rules and in-house regulations; ensuring the right implementation and execution from all staff and promoters.
- Managing all warning and disciplinary matters concerning the regulation violations.
MINIMUM QUALIFICATIONS & SKILLS REQUIREMENTS
- At least 2-year experience in HR practices in at least supervisory level, with:
- Bachelor’s degree.
- English/Vietnamese ability: Fluency in speaking, writing and reading.
- Computer literacy: able to use Office software (Word, Excel, PowerPoint) and internet skills
- Having sufficient soft skills including:
- Management skills.
- Problem-solving skills.
- Inter-personal skills
- Honesty, integrity, carefulness.
- Ability to work under high pressure with accuracy and attention to detail.
- Promote Teamwork: Maintain positive working relationships with co-workers; handle interpersonal conflict effectively.
