Executive Assistant (1 position based in Head Office, Phnom Penh)
Job description
- Undertake high level executive support to ensure effective management of the office of the Country Director (CD)
- Completes a broad variety of administrative tasks for the Country Director including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
- Plans, coordinates and ensures the CD’s schedule is followed and respected.
- Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CD, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Provides a bridge for smooth communication between the CD's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff.
- Works closely and effectively with the CD to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
- Prepare and edit correspondence, communications, agendas and other meeting papers, briefing papers, reports, presentations and other documents
- Provide general administrative support and assistance on preparation and distribution of minutes, agenda, support papers, and associated correspondence for various meetings.
- Support the Country Director in the preparation and presentation of reports, proposals, budgets and related activities in servicing and developing contracts and relationships with stakeholders and partners
- To prepare and/or draft correspondence for the Director, as required
Requirement
- Bachelor degree in communication, management or related field.
- Some experience in providing assistance to senior executive management, demonstrated high level administrative, coordination and organizational skills and the ability to meet tight deadlines.
- Demonstrated high level initiative and personal drive to anticipate requirements, progress work and to respond flexibly and effectively to changing work requirements.
- Ability to work collaboratively and capacity to build and sustain cooperation and communication with internal and external stakeholders.
- Demonstrated written communication skills including the ability to prepare documents and correspondence with a high attention to detail.
- Ability to maintain confidentiality and to demonstrate maturity of discretion and judgment, particularly in matters involving sensitive issues.
- Highly competent in the use of the Microsoft Office suite, particularly Word, Gmail, Outlook, Excel and PowerPoint.
