Office Administrator

Pour un Sourire d’Enfant (PSE) is a non-profit organization, established at the end of 1995 in Cambodia, working to provide food, shelter, medical care, general education and vocational training to children needing support, e.g. underprivileged children; maltreated children; children living in poverty and children without any formal education in Phnom Penh, Sihanoukville and Siem Reap.

Currently PSE is providing help to more than 6,500 children, supporting around 3,000 children in public schools, 1,500 in the remedial education program, and 1,500 in the vocational training program. Around 500 children benefit from specific educational programs: classes for children with disability, day-care centers, infant welfare, etc.

PSE employs more than 600 dedicated staff. Due to rapid growth of existing and new programs, PSE is seeking competitive and capable candidate to fill the positions of Office Administrator based in Phnom Penh.

Job Duties and Responsibilities:
  • Manage and maintain director’s calendar.
  • Manage and screen phone calls in the director’s office.
  • Make appointment and meeting arrangements for directors both internally and externally.
  • Take and write minutes of meetings and follow up on the agreed actions with relevant people.
  • Make daily briefing with the director and give all the necessary information ahead of this appointments and meetings.
  • Manage both internal and external mails sent to the director by categorizing, prioritizing and taking appropriate actions on them.
  • Keep the director informed and updated of important information in his emails by monitoring his mailbox regularly.
  • Compose letters, memos, emails and documents for directors.
  • Manage incoming and outgoing letters and documents.
  • Classify and file documents in both hard copy and electronic format to know all the current issues and their deadlines
  • Assist the director in collecting, organizing, and summarizing important information.
  • Collect and summarize the reports received from the Department Directors before sending them to the director for review or approval.
  • Assist the Director in certain reflections and the development of some projects.
  • Represent the director in both internal and external events when appointed by director.
  • Perform other duties as assigned by the director.

Job Requirements:
  • Degree or diploma from university or professional vocational school specializing in Office Administration or Secretarial Skills
  • Professional experience in administrative or secretarial affairs
  • Good command of both French and English
  • Good communication and interpersonal skills
  • Well-organized, attention to details and rigorous
  • Fast, dynamic and self-managed
  • Ability to work under pressure
  • Proficient use of Ms. Office and Internet & E-mail
  • Respect and support PSE’s values and mission
